AMERICAN PATRIOT GETAWAYS LODGING POLICY
CHECK IN TIME - Check in time begins at 4:00 p.m. EST and ends at 12:00 a.m. EST (Midnight), No Exceptions. Please call our automated system to retrieve your lock box, alarm code (if equipped) and gate code (if equipped) anytime after 4:00 p.m. EST and prior to 12:00 a.m. EST (Midnight). While we make every effort to have your cabin ready promptly, from time to time there may be a delay and your patience is appreciated. Check out time is 11:00 a.m. EST. No Exceptions, please. An additional night stay may be charged for late check outs.
LOCK BOXES/KEYS - On the day of your arrival, you may call our office at 1-800-532-7845 between 4:00 p.m. and 10:00 p.m. EST to get the lock box code for your home. The key will be inside the lock box. The key MUST remain in the lock box at all times when not in use. There is a $100 fine if the key is not found in the lock box and guests may incur additional service call charges if maintenance personnel are unable to enter the home because the key was not in the lock box. Agents Right of Entry- Management Company acts as agent and is paid a fee by the owner of the property.
PAYMENT
- For reservations made by credit card, 50% of your total stay is charged to your card the day the reservation is made. The remaining 50% is automatically charged to your card 30 days prior to your arrival. DO NOT mail a check as payment for your balance due. APG does not accept personal checks. If you want to use a different credit card for the final payment, you must contact our office prior to the date the balance is due.
- If you made reservations by allowing APG to directly debit your checking account and you did not pay the full balance at the time the reservation was made, we will transfer the final payment of your stay 30 days prior to your scheduled arrival day.
- No portion of your payment is held in escrow.
- Current State and Local sales tax will be accessed at the time the reservation is made. If, however, there is an increase in State and/or Local sales tax prior to the check-in date, the guest will be responsible for the additional tax.
SECURITY DEPOSIT WAIVER - This optional Plan protects you from theft or damage which results from an accident within the unit due to your inadvertent acts or omissions. The Security Deposit Waiver (SDW) Plan does not cover negligent or willful and wanton conduct. For a full description of the plan, please refer to the enclosed Description of Coverage detailing full terms and conditions that apply. If a Description of Coverage is not enclosed, contact the American Patriot Getaways for a copy. You must notify American Patriot Getaways of any damage or theft to the unit during your occupancy, or this plan is void. Payment for the SDW Plan will not be accepted after the guest occupies the unit. If you decide not to purchase the SDW Plan, a security deposit will be added to the final balance.
CANCELLATIONS - Should it be necessary to cancel your reservation, all prepaid amounts will be retained as liquidated damages unless written notice of cancellation is received at least 90 days prior to your arrival. Penalties will be waived if the unit is re-rented at the same rate and for the full term of your reservation. All cancellations are subject to an administrative fee. In addition, a non-refundable booking fee is charged on each reservation.
REFUNDS - Some complex photos represent the configuration of a specific condominium. The furnishings and fixtures in some condominiums may differ from the one shown here. However, whenever possible, a typical condominium unit from each location was selected to be photographed for this website representation. All our properties are privately owned. Descriptions, bed sizes and amenities are subject to change without notice. Your vacation home will be inspected prior to your arrival to ensure that all equipment is in good working order. In the event of a mechanical failure, we will make every effort to have all reported malfunctions corrected as promptly as possible. Neither the rental company nor the property owner will be obligated to give replacements or refunds in the event of failure or absence of any item, or for any public utility including television service. No refunds will be given due to early departure. This includes departures due to inclement weather. You are responsible for the entire booking once your reservation has been made. Refunds or adjustments cannot be made for late arrival or early departure.
SPECIAL PROMOTIONS - Occasionally APG offers special discount promotions. If you book a reservation under the terms of a promotion, you will not be eligible for any type of cancellation compensation that you may have been eligible to receive if you had booked the reservation at the regular rate.
NO STUDENT GROUPS OR HOUSE PARTIES OF ANY KIND - Students unaccompanied by a parent will not be permitted to register. Any reservation obtained under false pretense will be subject to forfeiture of all amounts prepaid, and the party will not be permitted to register or occupy any unit in our Vacation Property Management Program.
PETS/SMOKING - Pets may be permitted in select accommodations. Please check with our Reservation Office at (800) 204-5169 for details. Additional deposits will be required. If a pet is found in any of our homes that do not allow pets, a cleaning fee of $150 will be assessed. All properties are non-smoking unless otherwise specified and/or authorized.
MAXIMUM OCCUPANCY - The unit premises can be occupied by no more than the maximum number of persons indicated herein. This occupancy limit cannot be exceeded without the consent of management. For purposes of this agreement, occupancy is defined as any overnight visits in or at the unit premises. In the event the maximum occupancy limit is exceeded, the guest agrees to let the owner, owner's agent or the condominium association remove them from the unit and retain all deposits and rates whether earned or unearned.
PARKING - The parking areas at the individual sites are for automobiles only. Motor homes, travel trailers, boat trailers, pickup trucks, etc., are not permitted.
FINANCIAL RESPONSIBILITY - Guests assume full responsibility for all damages, excessive cleaning charges, or any missing items including linens and towels, please read the departure instructions in the unit. If these procedures are not followed an excessive cleaning fee will be charged.
HOT TUBS AND POOLS - Hot tubs and pools will be inspected after each rental. If any items such as food, alcohol, soaps or bath products, etc. are found in the hot tub or pool, you will be charged an excessive cleaning fee of $150.
HOT TUB WARNING: Persons with heart conditions, skin sensitivities, pregnant women and children under the age of 16 SHOULD NOT use the hot tub. There is medical research indicating that being in a hot tub can cause an unsafe drop in a young person's heart rate and can dangerously increase his or her body temperature. Children are also more prone to skin irritation from the chemicals in the water. A hot tub is not a swimming pool. Submersing in a hot tub by any person can result in serious eye, ear and respiratory diseases.
Mandatory Procedure for Use of Hot Tubs
- No persons with heart problems, pregnant or under the age of 16 may use the hot tub.
- Shower before entering hot tub. Bacteria on your body can result in bacteria in the hot tub.
- Do not use any type of oil or bubbles.
- Shower off immediately after hot tub use.
SUBSTITUTION - Circumstances may cause your confirmed unit to be unavailable therefore management reserves the right to substitute comparable accommodations. Substitute accommodations and rates will be subject to your approval.
EMERGENCY NUMBER - Our Front Desk/Guest Services office is open daily 10:00 am - 8:00 pm EST and can be reached by calling toll free 1-866-367-4838 or long distance at 865-774-5545. You will find the after hours emergency number on your confirmation letter and it is also posted in your unit. If you have an emergency you may call our office or dial 911.
